Welcome to the September issue of ActiveCamps!
In this issue:
- Top 3 Camp Needs Checklist
- Early Summer Setup Pays Dividends
- How to send mass emails
- Get to know Consulting Project Coordinator Breanne Kulis
If you’re on the east coast, you’ve already noted the recent drop in temperature. The cooler fall weather is the trigger within the animal kingdom to start making needed preparations; it is also the ideal time for camps to begin making their own preparations for a successful 2010 season.
Towards that end, now is the time to promote next year’s programs while the memories of the camp experience you provided is still vivid for both your campers and their parents alike. Review our strategic check list to see if your camp might be missing out on revenue, retention and referral opportunities as these are 3 key areas to the success of your camp.
Lastly, our account and implementation teams are diligently working on the Summer 2010 setup schedule for each camp. Booking early is one of the most important things you can do and we’re delighted to see so many clients taking advantage of scheduling their 2010 programs now. Look for an email shortly with a link to the 2010 Implementation Reservation form; or you may contact your Account Manager or the support team to get started today.
We hope you enjoy this issue, and please e-mail us your comments or suggestions. We look forward to hearing from you!

Top 3 Needs of Growing Camps
|
 |
|
Recently, the Christian Camp and Conference Association (CCCA) released their 2009 Waypoint Survey where camps highlighted their 3 top needs in the future:
- Capital Funds
- Campers/Guests
- Efficient Marketing
Below are proven strategies your camp can utilize to make a difference in your revenue, retention and referral goals for 2010:
| 1. | |
Offer eCamp Photo, Video, Email and News Services to generate additional revenue with minimum staff resources. It will prevent your camp’s biggest asset—your camp experience—from becoming a fading memory. Check out how Camp Waldemar uses eCamp services to share the “Waldmar experience” with past, present and future camps, contributing to an impressive a 1,500+ camper wait list. |
| |
| 2. | |
Leverage online donation and email communication tools. Your campers may grow up and move away but don’t write them off so quickly. Many camps overlook how online donation tools and their email lists can help them raise needed funds for capital improvements, scholarships or community outreach programs. Your camp alumni may be hundreds of miles away but may also be willing to contribute needed dollars towards your fundraising goals. Check out this month’s Sending Mass Email product tip. |
| |
| 3. | |
Increase camp participation with more referrals. Your camp families are one of your most powerful and cost-effective marketing tools at your disposal. Leverage the power of “word of mouth” advertising to build strong referrals that can go a long way in building participation in your camp programs.
- Use the Invite-a-Friend feature to encourage your camp families to spread the word about your programs with their friends, colleagues and associates. Ask your Implementation Analyst or a Support Representative for more information if you aren’t already utilizing this tool.
- Nothing is more powerful than your camp families sharing their own personalized eCamp photo albums and video clips with their friends and family! The average parent using eCamp invites 2 or more people to view their camp albums. By providing parents this insight into your camp, you are equipping them with extra tools to be a powerful marketing force
|
| 4. | |
Offer earlier registration discounts, refer a friend and sibling discounts. With the economy, “lay-away” is in vogue (remember the 80’s) and quickly becoming a strategy for minimizing the impact of back-to-school, holiday and family vacations expenditures. CampRegister allows you to offer flexible, automated payment options that are appealing to families looking for ways to ensure their children will be able to enjoy summer camp next year. |

| 5. | |
Efficient marketing starts with one basic question...
Do you know what is working...and more importantly—what’s not?
- What do “they” know? If your camp does not conduct post camp surveys—the simple answer is YOU don’t know! What your camper families think and more importantly say to others in passing could very well impact your camp’s long term success. Are you losing repeat campers to other programs due to lack of activities, facilities, staff, etc.? Do you know what your campers say to their parents about the experience weeks later? Or what parents think about their child’s experience a month after they return from your camp?
Both camper and parent post camp surveys are powerful tools to help improve your camp’s mission, facilities, programs and staff effectiveness—all key ingredients to your camp remaining successful and competitive.
- Does your camp faithfully track and analyze the question: “How did you learn about us?” The answer may surprise you and lead to spending your marketing dollars very differently next year.
For instance, are folks finding you through your website, or through referrals to your website? You might want to reallocate part of your print budget to enhancing your website with features, content and reasons why to choose your camp. In today’s online, 24/7 information-driven culture, your website may very well be your first, and even last, impression, so make it count.
|
Active offers online marketing packages specifically for camps with access to nearly 2 million people a month. We also design custom websites with “point and click” content management tools that allow your staff to expertly update your website without a degree from a technical institute.
Send an email to Camps@ActiveNetwork.com to request a no-obligation marketing or website consultation.

How to send a Mass Email
|
 |
|
- Go to Tools > Communication Center and click ‘New’ to create a new message
- From the drop down menu next to ‘Email Type’ select Standard Email
- Select from Account, Participant or Event fields next to 'Fields to Include:'. (For most emails, we recommend Account fields, which means the email will go out once per account).
- Confirm the correct email address is listed in the 'From' field. In most cases, you will NOT want to put your email address in the CC: or BCC: fields.
- Type the subject of the email in the ‘Subject’ field and click the gold ‘Save’ button above; your email will now appear in the list above.
- Now select your email in the list. You will now see the recipients in the ‘To’ field. If you have selected account-level fields, it will say ‘Accounts.Email’. You can edit the recipients by clicking on the ‘Edit Recipients’ button and selecting the email addresses that should receive this email.
- To send attachments, select the document from the Attachments drop down menu (click here for help uploading files for email attachments). NOTE: When you click the paper clip icon, text will appear in the body of the email. It will be in the form of a web address in square brackets. Do not edit this text. The recipients will not see this text, but they will receive the attachment.
- Type your message in the Message area. If you have any attachments, that text can be pushed to the bottom of the email body.
- Personalize your message by using the<> field located in the box.
- Click ‘Save’ when you are finished creating your email. Your email template will now be available in the Communications Center for mass emailing.
- Next, load a filter for the people you are interested in emailing. When you send an email through the Communication Center, it will go to everyone identified in the current filter.
- Click the ‘Preview’ button at the bottom to see how your message will look. (Note: This will generate a new window. Your message might not appear to word-wrap in the preview. However, it will word-wrap when it’s sent. Please close this browser window when you are finished viewing.)
- Click the 'Send' button at the bottom of the Communication Center. Your email will be sent in approximately one hour. If you need the email to be sent immediately or cancel the pending email, check out our training video.

Breanne Kulis – Consulting Project Coordinator
|
 |
|
I started at The Active Network in May 2007 on the Active.com customer support team, and 6 months later transitioned into the role of a Thriva Project Coordinator. I work primarily behind the scenes processing incoming contracts and assigning/scheduling the implementation analysts that work with our clients. I also mentor and lead two co-workers on my team. I feel fortunate that I get to work with so many great people in so many different roles (sales, implementation, account management, development, etc.), and am able to play a role coordinating each project. I grew up attending a summer camp each year and eventually graduated into the wonderful world of counseling. Now, I am happy to be working with our camps clients where I get to see a different side of the business.
About two and a half years ago, I moved to San Diego from Minnesota, where I was born and raised, and have loved every minute of it. I knew I needed a change of pace when I realized that I could brag about how fast I could dig my car out of a pile of snow, scrape ice off the windshield and de-ice the door locks! After college, San Diego was an obvious choice for my relocation (70 degrees year round, yes please!). When I moved out to the west coast, I began going to school for massage therapy. I am now a licensed massage therapist with a private practice.
I enjoy all outdoor activities but also find time for socializing, relaxing and staying active. I de-stress by running through beautiful Balboa Park, playing volleyball, or any sport for that matter. Last year I participated in my first duathlon (running & biking) as part of the company’s “corporate challenge” initiative to raise money for the Monarch School. I raised money and trained hard which paid off as I somehow placed second in my age group. I find rejuvenation while lying at the beach accompanied by a good book, or laughing during weekly “food and wine” nights with friends.
